Freeze Panes and Repeat Header Rows When You Print

You scroll to row 187 and forget whether column G was “Unit Cost” or “Unit Price.” You print a 12-page inventory list and only page 1 has headers — the rest is a sea of numbers. Two different features fix those two problems: Freeze Panes (on screen) and Print Titles / repeat frozen rows (on paper or PDF).

People mix them up. Freezing does not automatically repeat headers when you print.

Freeze the top row (Excel)

1. Click row 2 (the first data row) so the freeze line sits under your headers in row 1.
2. View → Freeze Panes → Freeze Panes.

Or use Freeze Top Row if you only need row 1.

1. Scroll. Row 1 should stay put.

Freeze first column: select cell B1, then Freeze Panes — or use Freeze First Column.

Unfreeze: View → Freeze Panes → Unfreeze Panes.

If Freeze is grayed out, you are editing inside a cell, in page-layout view, or protecting the sheet oddly — press Esc and try again from Normal view.

Freeze in Google Sheets

Select cell A2 → View → Freeze → 1 row. For a column: select B1 → View → Freeze → 1 column. Drag the thick gray freeze line if you need two header rows.

Repeat header rows on every printed page (Excel)

1. Page Layout → Print Titles.
2. Under Rows to repeat at top, click the row header for your titles (e.g. $1:$1) or select two rows ($1:$2).
3. Print preview. Pages 2+ should show the same headers.

This is independent of Freeze Panes. You can freeze row 1 for scrolling and still set $1:$1 for print — do both if you need both.

Columns to repeat at left exists for wide sheets that paginate horizontally.

Google Sheets print headers

File → Print. In the print sidebar, open Headers & footers / sheet options and enable repeating frozen rows if shown — Sheets ties repeat behavior to frozen rows more tightly than Excel. Confirm in the preview; if headers vanish on page 2, freeze the header rows first, then print.

Common failures

• Freezing with the wrong cell selected freezes half the table mid-data — unfreeze and select the cell below and right of what should stay visible
• Merged header cells confuse freeze lines — unmerge or freeze below the merge
• Print Titles pointing at empty rows — verify $1:$1 actually holds labels
• Filtering hidden rows: freeze still works; just remember filters hide data, they do not move the header

Quick checklist before a long PDF export

1. Freeze header row(s) for your own sanity while reviewing.
2. Set Print Titles (Excel) or confirm frozen rows repeat (Sheets).
3. Set print area if needed so you do not export 40 blank columns.
4. Preview pages 1, 2, and last.
